Improvement of Operating Model
Description of Project
Looking longer term, they hoped to develop a new operating model altogether - whereby people, processes, technologies and costs could be efficiently and effectively utilised to deliver a ‘silent running’ Adult Education Service.
The initial ‘review’ phase saw Chaucer engaged to determine underlying issues and key reasons for change. We also made recommendations for short and long term high-level solutions, together with their costs, benefits, risks and robustness, allowing the firm to fully consider possible implementation in 2008’s second quarter.
Chaucer’s Scope
Our scope for phase 1 of the project was to review the organisation’s current operating model to determine underlying problems and reach consensus on the reasons for change. We carried out this comprehensive review via:
• Explorative interviews with all stakeholders and/or their representatives to identify specific reasons for change.
• In-depth talks to define the inherent problem(s) and barriers to operational improvements.
• Root cause analysis workshop and discussion
Our project team presented key findings back to the organisation, along with a set of recommendations for both the short and long term future.
Benefits
Chaucer worked with the organisation’s staff to develop and substantiate an outline business case that justifies the reasons for change, the barriers it needs to overcome and the potential benefits from the business change programme.
While a full business case review may be required before our recommendations can be implemented, here are just a few of the benefits this organisation can now look forward to:
• Clearer lines of communication between departments and inter offices.
• Streamlined business processes including data capture and MIS reporting
• Processes for maintaining accurate and secure data, including personal data
• Consistent processes across all departments and offices
• Better information reporting to all stakeholders including data feeds to each interface
• Clearer roles and responsibility for all the company’s people
• Better team working & synergies between departments & offices.
• Better work ethic - Pro-active working rather than reactive
• Better system competency and understanding of system capability
• Accurate & timely MIS reporting
• Secure personal data capturing
• Pro-active MIS reporting
