Laboratory Reconfiguration

Description of Project

A global lubricants supplier had instigated an SPU organisational simplification project, for its Global Lubricants Technology.  The project was initiated to leverage the benefits of merging three of its lubricant technology organisations into one single entity.  By bringing these three groups together, the group were aiming to deliver efficiency gains (an initial run-rate saving of $1.51m per annum in 2010, $2.20m per annum in 2011 and increasing to $2.77m from 2012 onwards) and improve development/innovation capability through focusing product development and technical support through a smaller number of global centres. This, in turn, would enable the delivery of a more closely integrated technology programme across the regions of its industrial lubricants, global Marine and Aviation businesses.

The purpose of the project was to reconfigure a laboratory office and testing facility to provide the working space required to safely accommodate a total addition of 12 FTEs. Who’s roles would be transferred in from other global sites.  Of the 12 additional FTEs, 7 also required access to laboratory space.  Working to local and industry building regulations and armed with a budget of $650K, the 7 lab based FTEs would need to be accommodated through a reconfiguration of over 70m2 of redundant corridor and storage space.

Chaucer was engaged firstly to provide Project Management expertise, discipline and rigour to the project in order to deliver the crucial objective of developing a design in accordance with German and BP laboratory design guidelines. Chaucer then project managed a coordinating contractor and subcontractors to deliver the approved design, ensuring a strict adherence to HSSE guidelines and requirements.
The purpose of the project is to reconfigure the Mönchengladbach laboratory to provide the working space required to safely accommodate a total addition of 12 FTEs.  Office space is readily available in Mönchengladbach.  However of the 12 additional FTEs, 7 will also require access to laboratory space

Benefits

The project was highly successful and fully delivered safe laboratory working space for an additional 7 laboratory based staff with the capacity for a further 2 FTEs should there be a future requirement.
The project was delivered on time, within budget, to the strict laboratory design requirements and without HSSE incident or injury.
The rigour that Chaucer brought to the project allowed for full and auditable control to be put in place with a subsequent audit producing a perfect zero result and feedback stating it as absolutely best in class project management. There we no areas for improvement cited - only praise for the way the project was run, document control and communication.
Based on the success of this project, Chaucer has been retained by to work on similar projects with significant project management challenges.
